Portable long service leave audit checklist for Australian employers
Use this checklist before preparing a portable long service leave return from payroll data. It is written for Australian employers, bookkeepers, payroll firms, and compliance consultants handling construction, community services, contract cleaning, security, or coal LSL obligations.
1. Confirm which scheme applies
Start with the worker's industry, work state, employer entity, and worksite history. Common search problems include NSW construction LSL, QLD portable long service leave, VIC LeavePlus, WA MyLeave, community services portable LSL, contract cleaning LSL, security industry LSL, and National Coal LSL. Multi-state work and mixed employer entities should be reviewed before a return is treated as ready.
2. Check payroll fields before calculation
- Worker name, employee ID, start date, termination date, employment type, and work state.
- Pay period, paid date, pay category, hours, gross wages, ordinary earnings, allowances, leave, overtime, and reimbursements.
- ABN or employer entity where a payroll file contains multiple employing entities.
- Contractor, apprentice, trainee, director, and labour hire markers where available.
3. Separate ordinary wages from exceptions
Most errors in portable LSL return preparation come from wage mapping. Ordinary earnings, overtime, site allowances, annual leave, workers compensation, leave without pay, bonuses, and reimbursements may need different treatment depending on the scheme. A good long service leave audit tool should show the source row, mapped category, reason, and status for every included or excluded amount.
4. Review blockers before lodgement
Do not treat a return as final while source rows have missing states, missing start dates, ambiguous contractor status, unknown pay categories, duplicated workers, or cross-border work that has not been resolved. These items should become an exception register for employer sign-off.
5. Keep an evidence pack
A practical LSL audit evidence pack should include the source file checksum, import log, mapping report, return summary, worker detail, wage reconciliation, rule version, assumption register, exception register, and calculation trace. This is the material a payroll firm or compliance consultant needs when a client asks how a figure was prepared.
